Job Introduction

To support the project management team to ensure the effective project management of allocated new build and refurbishment projects through design, development and implementation to the requisite time, cost and quality parameters in keeping with Selfridges aspirations.

This is a critical role in developing the Selfridges brand and environment in that it assists the Project Managers on all projects across all stores and divisions. The coordinator will support with day to day project, programme, budget, governance and administration tasks.  The role liaises with people from all areas and levels of the business as well as external teams of contractors, consultants and suppliers. This role will involve helping to coordinate and manage various aspects of a project and will be pivotal in maintaining overall project governance.

A bit about the role

Managing Projects

  • Ensure effective management of project documentation
  • Prepare project trackers for costs and maintain throughout the project
  • Assist in producing scopes for external consultants and compiling formal appointments
  • Attend design team and site progress meetings and take minutes
  • Assist project managers with contractor and supplier payments
  • Assist with production of project phasing plans
  • Liaise with all internal and external stakeholders throughout project lifecycle
  • Attend brand/concession briefings and act as a contact for all internal/external parties
  • Assist project managers in producing programmes
  • Assist project managers in producing snagging documents and complete snagging

Communication

  • Assist with the production of a communication plan for all projects
  • Communicate effectively both internally and externally
  • Proactively provide updates on project status to all stakeholders
  • Establish and maintain good working relationships with colleagues and external parties

Office Administration

  • Completion of all contractual documentation on all projects (framework agreements, shopfitting agreements, letters of appointment).
  • Assist with the production of project execution plans for strategic projects
  • Assist with the preparation of presentations for meetings 
  • Set up project meetings (design team meetings, site meetings, project workstreams)
  • Develop and follow internal governance procedures for the management of projects
  • Develop and maintain consultant and contractor database

Maintain the security, health and safety of the working environment

  • Assist with the implementation of CDM 2017 processes and paperwork on all projects

  • Encourage and promote an understanding of the Selfridges brand values amongst external consultants and contractors
  • Promote Selfridges business goals in relation to project activities
  • Participate in the Values team to promote the values within the Property team
  • Participate in promoting sustainability within Selfridges
